# Configure voice ordering

> Enable spoken orders for your shop, choose the capture language and set how long recordings are kept.

Check the shop before setting up voice ordering for your team.

## Who can do this?

Owners and Managers can change voice-ordering settings. Staff can use voice ordering when it is available but cannot change these shop settings.

## Where to do it

In the mobile app, open **Shop** and choose **Voice ordering** in the settings section.

## Set up capture in the mobile app

1. Turn **Enable voice ordering** on or off for the shop.
2. Open **Capture language** and select **English (United Kingdom)** or **German (Germany)** to match the language your team will speak. Choose **Done** to apply your selection before saving. Closing the picker without Done discards that selection.
3. Under **Audit retention**, set **Keep transcripts for** to a whole number from 1 to 730 days.
4. Set **Keep audio for** to a whole number from 1 to 365 days. This setting is separate from transcript retention.
5. Choose **Save changes** and wait until saving finishes. Reopen the settings to confirm the saved values.

Enabling voice ordering does not guarantee microphone availability. After certain service failures, the mobile app hides it for five minutes on that device. Wait before trying again or complete the basket manually. An ongoing service problem or Tapp pause can keep it unavailable. Saved shop settings remain unchanged; microphone permission is still required.

## Change settings in the web app

Open **Settings → Voice ordering** for the selected shop. Turn **Enable voice ordering** on or off, choose **Spoken language**, and set **Keep transcripts for** and **Keep audio for** under **Audit retention**. The same whole-day limits apply: 1–730 for transcripts and 1–365 for audio.

Choose **Save changes**, which appears after you make a change, and wait for saving to finish. Reopen the page to confirm the values. Changes in either app apply to the same shop. Saving a shorter retention period can therefore affect recordings made on other devices in that shop.

Turning voice ordering off prevents new spoken orders and can stop further processing of speech already being captured. Let your team finish their current spoken orders first, or check and complete those baskets manually.

## Understand retention

Transcripts are the written record of speech; audio is the recording you can listen to. Their retention periods run from capture time. Changing a period does not instantly delete old content when you press Save; removal happens through scheduled cleanup. Turning voice ordering off does not stop this cleanup.

Shortening retention can make older speech and recordings unavailable after cleanup. Increasing it cannot restore content already removed. Summary measurements can remain after the original speech is removed, so an analytics total does not prove that a transcript or recording is still available.

The mobile settings also provide **Learned phrases**, where managers can review phrases associated with menu items. Review incorrect matches separately from the capture-language setting.

## Platform notes

Both apps configure voice ordering for the shop; use the mobile app to capture spoken orders. Changing the capture language does not change the language of the app's menus. Check the recorded order's items and quantities before taking payment.

## Market notes

The flow supports shops in Great Britain and Germany. Select the spoken language deliberately; do not assume it follows the shop's market or your personal app language.

## Troubleshooting

* Wait for the mobile save to finish; edits made while saving can be lost.
* If another manager has changed the settings, reopen the mobile page before editing. An already open form can still show the earlier values; saving it can overwrite newer choices.
* If the settings keep loading or no controls appear, check your connection and reopen the page. Wait for the current settings to appear before editing.
* If Save is unavailable, check that you changed a setting and entered valid retention periods.
* If saving fails, reopen the settings to check their current values before retrying.
* If the microphone is missing, confirm the shop setting and check for a pause notice. Contact Tapp support if voice ordering remains unavailable.
