# Compare planned and registered hours

> Review your team's scheduled hours alongside attendance recorded for a selected period.

Use the hour calculator to compare planned shifts with recorded attendance for each team member. A difference can come from a changed assignment, a missed check-in, an early finish or a check-in that is still running.

## Who can do this?

Owners and Managers can view the team's hours for their shop. Staff cannot access this team summary.

## Where to do it

In the mobile app's manager **Work** area, choose **Hour calculator** under the quick actions. Check the selected shop before comparing figures.

## Review a period

1. Check **From** and **To**. The initial period runs from the start of the current month through today in the shop's time zone.
2. Open either date, choose the day and select **Confirm**. The end must be on or after the start, and the range cannot exceed two years.
3. The summary reloads for the chosen dates; wait for it to finish.
4. Read each person's **planned** and **registered** hours.
5. Pull down to refresh after a check-out or a correction, then compare the figures again.

People appear when they have relevant planned shifts or attendance in the period. An empty result does not list every employee with zero hours. A former team member can still appear if they have matching shifts or attendance. Their presence here does not mean they are currently on your team.

## Understand the figures

**Planned** adds the full duration of shifts starting within the selected dates for which the person is currently assigned. Unpublished automatically planned shifts are excluded. Changes to assignments can therefore change this figure for the same period.

**Registered** adds recorded attendance whose check-in starts within the selected dates. Cancelled attendance is excluded. An ongoing check-in counts up to the time the summary is calculated, or the end of the selected period if that comes first. Refreshing can change this total while someone remains checked in.

The selected end date includes that whole day. For overnight work, the start determines whether the shift or check-in is included. A check-in that began before the selected start date is not included just because it continues into the period. Registered time is cut off at the end of the period, while an included planned shift contributes its full duration.

The display uses hours and minutes: **1h 30min** means one hour and thirty minutes. Attendance totals count whole minutes for each record; leftover seconds from separate records are not added together. Small differences can therefore remain when comparing with more precise timestamps.

## Investigate a difference

Compare the person's schedule with their check-in and check-out records. Check whether a record is still running and whether time off or a transfer changed an assignment. If a time is incorrect, correct attendance first and refresh the calculator. Changing planned hours alone does not correct recorded attendance.

## Platform notes

These steps describe the mobile app's team summary. The summary rows do not open individual records. Use **Team check-ins** to inspect and correct attendance. The figures can change as new attendance or corrections are saved; they are not a frozen copy of the schedule.

## Market notes

This flow applies in Great Britain and Germany. Dates use the selected shop's time zone. Pay particular attention to overnight work when comparing a single day or the end of a month.

## Troubleshooting

* If the date range is rejected, check its order and shorten it to two years or less.
* If figures look too high, check for a forgotten check-out before assuming all registered time was worked.
* If loading fails, refresh. A loading error is not a zero total. Contact Tapp support if the summary remains unavailable.
