# Create a shift and assign your team

> Set a shift's date, hours and staffing needs, then choose the people who will work it.

Plan working times and staffing needs. Places can remain unfilled. Staffing counts show assignments, not check-ins.

## Who can do this?

Owners and Managers can create shifts and assign people for their shop. Staff cannot create shifts or assign other team members.

## Where to do it

In the web app, select your shop and open **Shifts**. Choose **Day**, **Week** or **Month**, and use the arrows to reach the date you need. **Today** returns to the current date for the shop.

In **Day** or **Week**, drag an empty area in 30-minute steps. The form keeps the starting date; set overnight hours there. Save to create the shift.

## Create in the web app

1. Select **Add shift**. Check **Date**; it starts with the date selected in the calendar.
2. Enter **Starts** and **Ends**. Identical times are unavailable here. An earlier end time means the next day, such as 22:00–02:00.
3. Under **Roles needed**, choose the work role required or **Any role**. Work roles describe duties, not account permissions.
4. Set **People** with plus or minus: 1–99 per role.
5. Search for team members and select the people you want to assign. For a specific work role, the list includes people with that role. People already working an overlapping shift cannot be selected.
6. Check names and staffing needs, then choose **Save shift**.
7. Reopen the shift and check times, staffing count and **Assigned staff**.

Changing the required role clears the people selected for that role. Reducing the number of people can also remove selections. Recheck the names after either change.

The web staffing summary uses the total assigned and required people. Check each role’s filled and required places separately.

## Change an existing shift

In the web app, open the shift and choose the pencil button, **Edit**. Change its details and choose **Save shift**. Reopen it to check the result.

Saving through either app’s shift editor can cancel ongoing check-ins, even with the same people selected. Review attendance afterward and contact Tapp support if a record needs correction.

For time-only changes in the web app, the calendar’s resize controls keep assignments. Check saved times and attendance separately.

## Platform notes

In the mobile app, open **Work → Schedule** and choose **Create a shift** or **Add shift** under the intended date. The form keeps that date. Set **Start** and **End**, then **Confirm** changed times in five-minute steps. An end time earlier than or equal to the start means the following day. Identical times therefore create a full-day shift; check carefully.

Set **People needed?** (1–99) and **Required competence**, or **Any**. Search and select staff, then **Save shift**. Changing competence clears selections; reducing capacity removes excess selections. With one place, choosing another person replaces the selection.

To edit, open the shift, choose **Modify shift**, then **Save changes**. This editor supports one required role for the whole shift. Saving a shift with several role requirements replaces them with one, initially **Any**. Avoid saving here if those separate requirements must remain.

Manual shifts need no separate publish step after saving.

The mobile time picker rounds to five-minute steps. Check the displayed time before **Confirm**. Closing the picker without confirming keeps the form’s previous time; save the form separately.

## Market notes

In Great Britain and Germany, shifts use the shop’s local time. Check the date when planning from another time zone. Planned hours do not confirm hours worked.

## Troubleshooting

* If a person is missing, clear the search and check the required work role. If they are unavailable, check for another shift at the same time, including in another shop.
* For multiple filled places, remove someone or increase capacity before selecting another person.
* If saving fails, close the form, refresh and inspect the shift before retrying. A new shift may exist or an edit may have removed assignments. Check times and names; the old schedule may not be restored.
* If staff or shifts unexpectedly appear missing, reopen and refresh before saving. Contact Tapp support if the problem persists.
