# Generate and review a monthly shift plan

> Build a draft from your templates and team preferences, check every assignment, then publish the plan.

Prepare a month's shifts from daily templates. Review the draft: assignments may exceed preferred hours or fall outside preferred working days.

## Who can do this?

Owners and Managers manage the shop’s monthly draft. Coordinate before replacing or discarding it.

## Where to do it

In the web app, select the shop, open **Shifts** and choose **Autogen**. Prepare your shift templates and collect the team's preferences first.

## Build the draft

1. Choose a month and select **Next**. This screen offers months with open preference registration. Open the month under **Preferences** if it is missing.
2. Choose the people to include. Everyone is selected initially; remove anyone who should not be scheduled. At least one person must remain selected.
3. Check who has submitted preferences. Missing responses do not exclude a person from planning.
4. Select **Next** and choose a template for every weekday. **Same template every day** applies one template to all seven days.
5. Choose **Generate** and wait for **Review the draft**.

Generating again replaces the month’s draft and its edits. Use **Review draft** to inspect it instead. Published shifts remain; check for duplicated staffing needs.

## Check the proposed assignments

Review daily shifts, assigned people, open places and **Assigned hours**. These hours cover the draft only; add already published shifts when checking monthly totals. Check approved time off, overnight shifts and commitments at other shops.

Preferences are not availability limits. Assignments can exceed desired hours, including zero, or fall outside selected dates. Exclude anyone who should not work.

For missing responses, planning can reuse earlier submitted hours and corresponding weekdays. Otherwise, planning starts with 160 hours and configured days. Confirm availability with the person.

Select a draft shift to edit it, or use its delete button and confirm. Every weekday needs a template. The hint suggests an empty template for closed days, but the template editor requires a time block. Delete unwanted shifts on closed dates before publishing.

When assigning people within a draft, overlapping draft shifts in the same shop also count as busy. Drafts in other shops do not reserve the person; coordinate those plans before publishing.

## Publish or discard

Check availability, time-off and assignment changes since generation. **Publish** uses the saved draft without replanning. Select it and confirm. The team sees assigned shifts, including those with unfilled places.

**Discard** and **Discard and leave** delete the monthly draft after confirmation. Published shifts remain. After an error, inspect the plan before retrying.

## Platform notes

To keep an unfinished draft, use the web app and avoid opening **Work** → **Autogen** in the mobile app. Opening or returning to that mobile screen can delete unpublished drafts for every month with open preference registration in the shop, including another manager’s draft, without confirmation. Published shifts remain.

For a new mobile plan, choose **Autogenerate shifts**, select the month and team, then **Next**. Check the selected names: **Clear all** can select everyone again. Assign all seven weekdays before **Generate**, even if the button becomes available earlier.

In the preview, tap a shift to edit and check assigned hours and **Missing staff**. **Approve** publishes after confirmation. **Discard draft** and **Leave and delete draft** delete the draft after confirmation; neither keeps it for later. Publishing does not record worked hours.

## Market notes

The flow applies in Great Britain and Germany. Review the selected shop's dates and working hours before publishing.

## Troubleshooting

* If generation is unavailable, check the open month, selected team and all seven weekday templates.
* If places remain open, review work roles, existing assignments and approved time off before changing the plan manually.
* If the draft cannot load or its saved state is unclear, refresh and contact Tapp support before regenerating or publishing.
