# Review a time-off request

> Approve or decline a team member's time-off request and check the resulting staffing gaps.

Review time-off requests before changing your team's schedule. Approval removes the person's affected shift assignments; it does not arrange replacement staff or delete the shifts themselves.

## Who can do this?

Owners and Managers can approve or decline requests for their shop. Staff cannot decide requests through these management controls.

## Where to do it

In the web app, select the shop, open **Shifts** and choose **Time off**. **Requests** shows requests waiting for a decision. **All requests** lets you review the wider list and previous decisions.

## Review and decide

1. Open the person's request. Check their name, dates and **Note**. The calendar starts in the request's first month; use its arrows to inspect later months. Both boundary dates are included. This calendar shows the request without changing its dates.
2. Wait for the affected-shift information to load. Compare it with the person's actual assignments in the calendar.
3. Check any shifts around midnight at the start or end of the requested period. The affected count can differ from the shifts you expect from the shop's local dates.
4. Choose **Approve** to accept the request or **Decline** to reject it. The action is submitted directly; there is no additional confirmation step in this web flow.
5. Wait for the success message, then open **All requests** and check the saved decision.
6. After approval, return to the calendar. Check which assignments were removed and arrange cover for any unfilled places.

Declining a pending request does not remove the person's assignments. Approving affects existing assignments included in the calculation. Do not assume it prevents every later manual scheduling change; continue checking the approved time off when assigning people.

## Check the result carefully

The preview is an aid to review, not a promise that every local-date overlap will be handled. An overnight shift may start before the time-off period and still run into it. Also check shifts starting close to midnight on either boundary day.

If work has already started, review attendance separately. Approval does not by itself correct an active check-in or recorded working hours. Contact Tapp support if assignments or attendance no longer match what happened.

## Platform notes

In the web app, **Approve** remains available while the preview loads or if it fails. No impact warning can mean either zero affected shifts or an unavailable result. Check the schedule before deciding.

In the mobile app, approval stays unavailable while the affected-shift preview loads or if it fails. Close and reopen the request to try loading the preview again. After a preview error, declining remains available once loading finishes.

Neither app offers an undo button in the request details. The web app shows decided requests with a close action; the mobile app opens requests from **All requests** for viewing only. Do not create a duplicate request as a way to reverse an approval. Ask an Owner or Manager to review the required correction and contact Tapp support if needed.

In either app’s **All requests**, look under the month when the time off starts, even if it ends in another month. In the web list, scroll down to load more requests. Check the full range before deciding.

## Market notes

The management flow is available in Great Britain and Germany. Read the requested dates and compare them with the selected shop's calendar. The request's day count is not a count of the person's scheduled shifts.

## Troubleshooting

* If the affected-shift preview fails to load, check the schedule directly before deciding. A missing preview is not proof that no shifts are affected.
* If a decision fails, refresh the request before retrying: it may already have been decided.
* If you cannot identify the person shown on a request, reopen the list and confirm who requested the dates before deciding.
* If you see a loading error, reopen the list. An error is not an empty request list.
* If the saved decision or removed assignments are unclear, contact Tapp support with the requested dates and the message shown.
