Managing Guest Profiles

Easily keep your guest database clean and up-to-date from the Guests page in Tapp Back Office.

Prerequisites

  • Owner or Manager role credentials

  • Logged in to Tapp web-dashboard

Step-by-step

  1. Open the Guests page

    • In the side menu, select Guests. The item highlights and the page header shows a breadcrumb “Guests” plus a search bar.

    • If the shop has no guests yet, you’ll see “No guests available for this shop”.

  2. Browse the guest list

    • Cards are sorted newest-first by default and limited to 20 per page. Click Show more to load the next 20 or scroll within the page if needed.

    • Column headers include ID, Name, Phone, Reviews (Avg).

    • Click the ▲/▼ arrows to sort by ID, Name, or Reviews (Avg).

  3. Search for a guest

    • Click the search field and start typing at least one character; the list filters in real time by ID or name.

    • Searches are case-sensitive and accept partial matches (e.g. “Mar” finds “Marco”).

    • If nothing matches you’ll see “No guests matching your query found”.

  4. Open a guest profile

    • Select any card to view that guest’s profile.

    • The profile shows high-level metrics—Orders (last 30 days), Total spent, Average rating, ID—plus contact details.

    • An Orders History table lists completed, cancelled and refunded orders with date, order number, total and status. You can click any order to go directly to it.

    • A Booking History is also shown, listing out the guests previous and current bookings, information on Booking ID, Date, Time, Party Size (If available), Status is listed. You can click any booking to go directly to it.

    • Use the period drop-down (Today, This month, Last 7/30/90/365 days) to recalculate the metrics.

  5. Edit guest information

    1. On the profile, tap Edit next to the Information section. A modal opens with editable Full Name, Phone number, Email and action buttons.

    2. Make changes; the Save changes button activates once a field is edited.

    3. Validation rules:

      • Name 2–100 characters, letters plus “-” or “ʼ”

      • Phone 4–15 digits, may start with “+”

      • Standard email format

      • Empty required fields or invalid input trigger inline errors such as “This field cannot be empty” or “Please enter a valid phone number”.

    4. Click Save changes to apply or X to discard; either option closes the modal and returns to the profile view.

Troubleshooting

  • Why do some fields show “–” instead of data? - A hyphen appears wherever information is missing—for example, guests without a phone number or review score.

  • Nothing happens when I search - Confirm you’re using the exact case (search is case-sensitive) and that at least one character is entered.

  • “Save changes” stays inactive - Make sure you’ve modified at least one field and resolved any validation errors shown in red.

FAQ

  • How many guests can I view at once?
    Twenty cards load per page; use Show more to reveal additional guests.

  • Can I sort by multiple columns at once?
    No. Sorting applies to the single column whose arrows you last clicked.

  • Does editing affect historical orders?
    No. Updating a guest’s contact details does not change their past order records.
