A template saves reusable hours and staffing needs. Applying it adds unassigned shifts on the chosen day; it does not replace existing shifts.

Who can do this?

Owners and Managers can create, edit, apply and delete templates for their shop. Staff cannot manage templates.

Where to do it

In the web app, select your shop, open Shifts and choose Templates. The My templates panel lists your saved patterns.

Create a template

  1. Select New template and enter a distinct Template name of up to 50 characters.
  2. Under Time blocks, set the first block’s start and end times, required work role and number of people.
  3. Choose Add block for another shift in the pattern. Each block becomes a separate shift when applied, even if two blocks have the same hours.
  4. Review every block. Start and end times cannot be identical; an end earlier than the start means the shift ends the following day.
  5. Choose Save template and check that it appears in the list.
Choose Any role when no specific work role is needed.

Add the template to a day

  1. Return to the calendar, choose the intended date and select Add shift.
  2. Check the date in the form, then choose Apply template.
  3. Select the template and review the confirmation’s name, date and number of shifts.
  4. Select Apply and wait for the result.
  5. Inspect the calendar and assign people to the new shifts.
Applying again adds duplicates. After an error, inspect the day before retrying.

Edit or delete a template

Open a saved template, change its name or blocks, then save. Changes affect future uses; update existing calendar shifts separately. If an existing template has several work roles within one shift, the web editor shows a separate block for each role. Saving makes each block a separate shift for future applications, even when you only changed the name. Check the block count and staffing needs before saving. To remove a template, choose its delete action and confirm Delete. Already-created calendar shifts remain.

Platform notes

In the mobile app, open WorkTemplates. Tap + to create a template, or select one to edit. Enter its name, set each block’s times, role and people count, then tap Save template. Use Add another time block for more shifts. Closing with unsaved changes offers Keep editing or Leave. Use the row’s × and confirm Delete to remove a template. For a template with several roles in one shift, avoid saving it in the mobile editor: only the first role is loaded, and saving removes the others, even after a name-only change. Use the web app and review its separate blocks instead. Unlike the web editor, the mobile editor accepts identical start and end times as a 24-hour shift. Check both times carefully. To apply a template, open a new shift for the intended day, choose Apply template, select the template and confirm Apply. This creates the shifts immediately and closes the form. Check the calendar before repeating an uncertain action. The mobile time picker rounds to five-minute steps. Check the displayed time before Confirm. Closing the picker without confirming keeps the form’s previous time; save the form separately.

Market notes

The flow applies in Great Britain and Germany. Templates use the selected shop’s time zone when applied to a date. Check overnight shifts and the chosen day before assigning staff.

Troubleshooting

  • If you cannot save, check the name and each block’s times and staffing needs.
  • If a required work role is missing, check the shop’s work roles. Removing a role can change existing template requirements to Any role.
  • After an error, refresh the template list or calendar and check what saved before trying again. Contact Tapp support if the result remains unclear.
